Our commitment to your privacy
D.H. Roberts Financial Group Inc. ("D.H. Roberts", "we", "us") protects the personal information our clients and website visitors entrust to us. This statement explains what we collect, why, how we protect it, and how you can access it or raise a concern.
We handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and its ten fair information principles, applicable provincial privacy laws, and the requirements of the regulators who oversee our advisors, including the Canadian Investment Regulatory Organization (CIRO) and provincial insurance regulators.
Who we are and who is responsible
Our advisors provide two separate lines of business, each under a different organization:

When you open a mutual fund account, your information is also collected and held by IPC Wealth Inc. and is governed by IPC Wealth Inc.'s own privacy policy, which you receive at account opening. This statement covers information collected by D.H. Roberts and through this website. Where the two overlap, we follow whichever standard is stricter.
What personal information we collect
We collect only the information we need to serve you and meet our legal and regulatory obligations. Depending on the products you hold, this may include:

Identity and contact details: name, address, phone, email, date of birth, and government-issued identification.

Social Insurance Number: required for tax reporting on registered and non-registered investment accounts.

Financial information: income, assets, liabilities, net worth, tax information, and banking details.

Know-your-client information: investment knowledge, objectives, time horizon, risk profile, employment, and personal and family circumstances.

Insurance information: health and medical information, lifestyle details, beneficiaries, and existing coverage, collected for underwriting and claims.

Trusted contact person: the name and contact details of a person you choose, whom we may contact if we suspect financial exploitation or diminished mental capacity.

Communications and transaction records: instructions, correspondence, and notes of our meetings and calls.
We collect this information mainly from you. With your consent, we may also collect it from insurers, fund companies, other financial institutions, your other professional advisors, and credit or medical information sources.
Why we collect it
We identify the purpose for collecting your information at or before the time we collect it. We use it to:

Verify your identity, as required by the Proceeds of Crime (Money Laundering) and Terrorist Financing Act.

Gather and keep current your know-your-client information, and assess whether a product or recommendation is suitable for you.

Open, service, and administer your accounts, policies, and transactions.

Apply for insurance, support underwriting, and assist with claims.

Meet tax reporting obligations, including issuing tax slips.

Meet our legal and regulatory obligations to CIRO, securities commissions, and insurance regulators, including supervision, compliance reviews, audits, and complaint handling.

Protect you and us from fraud, financial exploitation, and errors.

Communicate with you about your accounts and, with your consent, about other products and services that may interest you.
If we need your information for a new purpose, we will ask for your consent first, unless the law permits otherwise.
Your consent
We collect, use, and disclose your personal information only with your knowledge and consent, except where the law requires or permits otherwise. We obtain express written consent for sensitive information, such as health information and your Social Insurance Number. Other consent may be implied, for example when you give us information to open an account.
You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent may mean we can no longer provide a product or service, and we will explain the consequences before you decide. We cannot honour a withdrawal that would prevent us from meeting a legal or regulatory requirement, such as keeping required records.
How we use and share your information
We do not sell, rent, or trade your personal information. We share it only as needed for the purposes above, with:

IPC Wealth Inc., our mutual fund dealer, to open, supervise, and administer your mutual fund accounts.

Insurance companies and managing general agencies, to apply for, place, and service your insurance.

Mutual fund companies, trustees, and custodians, to process transactions and hold your investments.

Regulators and self-regulatory organizations, including CIRO, provincial securities commissions, and provincial insurance regulators, when they request it for compliance reviews, audits, investigations, or complaint handling.

Service providers who help us run our business, such as client-management software, secure document storage, IT support, and accountants. They may use your information only to provide services to us and must protect it to standards comparable to ours.

Your trusted contact person or authorized representatives, within the limits you have authorized or the law allows.

Others where the law requires or permits, for example to comply with a court order, or with FINTRAC or the Canada Revenue Agency.
Some service providers may store or process information outside your province or outside Canada. That information is then subject to the laws of that jurisdiction, and authorities there may be able to access it.
If our business, or an advisor's book of business, is sold or transferred, client information may be disclosed to the buyer under a confidentiality agreement, as permitted by law. We will notify you of any such change.
How we keep and protect your information
Retention. We keep personal information only as long as needed for the purposes it was collected, or as long as the law and our regulators require. Securities regulations generally require us to keep client records for at least seven years after an account closes. When information is no longer needed, we destroy it securely, for example by shredding paper and permanently erasing electronic records.
Accuracy. We keep your information as accurate and complete as needed for its purpose. Please tell us promptly about changes to your contact details, finances, or circumstances, and we will update your know-your-client information.
Safeguards. We protect your information with security measures suited to its sensitivity:

Physical: locked offices and filing cabinets, and controlled access to client files.

Organizational: access limited to staff who need it, signed confidentiality agreements, and regular privacy and cybersecurity training.

Technological: passwords, multi-factor authentication, encryption, firewalls, up-to-date anti-virus software, and secure file-transfer tools.
Privacy breaches. If a breach of our safeguards creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as soon as feasible. We will also report the breach to IPC Wealth Inc., to CIRO, and to other regulators as required, and keep a record of every breach.
Our website and electronic communications
You can browse this website without telling us who you are. If you contact us through a form or by email, we use what you send only to respond to you.
Our website may use cookies and analytics tools that collect technical information, such as your browser type, pages visited, and approximate location. We use this only to understand how the site is used and to improve it. You can set your browser to refuse cookies; the site will still work.
This website may link to other sites, including IPC Wealth Inc. and insurance companies. We are not responsible for their privacy practices, so please review their policies.
Email and the internet are not fully secure. Please do not send account numbers, your Social Insurance Number, or health information by regular email; ask us for a secure way to send them. We do not accept trading instructions by email, text, or voicemail unless we have confirmed them with you directly.
We send commercial electronic messages only with your consent, as required by Canada's Anti-Spam Legislation (CASL). Every message includes a way to unsubscribe.
Accessing your information and raising concerns
Access and correction. You may ask to see the personal information we hold about you, how it has been used, and to whom it has been disclosed. Send your request in writing to our Privacy Officer. We will respond within 30 days, at minimal or no cost, and explain if more time is needed. If information is inaccurate or incomplete, we will correct it and, where appropriate, inform others who received it. In limited cases the law lets us refuse access, for example where the information would reveal another person's information or is subject to legal privilege; we will explain our reasons in writing.

Complaints. If you are not satisfied with how we handled your information, contact our Privacy Officer first; we will investigate and respond promptly. If your concern is still not resolved, you may contact the Office of the Privacy Commissioner of Canada at 1-800-282-1376.
Changes to this statement
We review this statement regularly and may update it to reflect changes in our practices or in the law. The current version is always posted on this website, with its effective date. Significant changes will be communicated to clients directly.
